Description: WORK LOCATIONNashville, Knoxville, Pigeon Forge, Tennessee/ Project based travelPOSITION INFORMATIONFull-time salaried position; rate dependent upon education and experience SCHEDULEMonday - Friday 8:00am - 5:00pm* Exact schedule may vary based on project phase specific needsGENERAL JOB DESCRIPTIONCoordinator/ support level position responsible for assisting the project management team on medium-risk projects from initiation (blue sky) through occupancy and close out. Working with the PM to manage and document all aspects of the project including budget, schedule, design coordination, procurement, execution and delivery while interfacing with project team members including external engineering and technical consultants. Reports to Senior PM/ PM, and Director/ Executives as required.RESPONSIBILITIES--- Works with PM to set the strategic direction for project and monitors its implementation.--- May be involved in multiple projects at one time.--- Works with PM to set up project controls including project reporting templates, budget, and schedule.--- Drafts all meeting agendas and meeting minutes for project meetings.--- Coordinates and sets up reoccurring project meetings, working with multiple vendors and time zones.--- Works with the PM on drafting/ generating/ defining scopes of work, estimates, schedules, budgets, Requests for Proposals (RFP), contracts, procurement planning, buyout, close out, occupancy and warranty strategies.--- Develops AOA project-specific program book template. --- Assists PM to prepare and present monthly project status reports to Senior Management and Owners/Clients.--- Manages all aspects of the design and construction documentation process while working with external design and engineering consultants.--- Helps the PM team coordinate and track the change management process by collecting and verifying information. --- Must be agile and have an open mind with experience in problem solving and conflict resolution.--- Familiar with vendor solicitation, contract negotiations and bid/ award scenarios.--- Establishes project photo documentation process working with General Contractor.--- Adherence to AOA policies and procedures.QUALIFICATIONS--- Minimum 1-2 Years of experience in project management and/ or concurrent field-related construction experience.--- Four-year degree in Construction Management, Engineering, Architecture, or related technical/ business field.--- Proficient in Microsoft Office suite including Microsoft Project, document management systems, document editing with Bluebeam or Acrobat Professional.--- Experience using software such as P-6, MS Project, Excel, Word, CADD.--- Experience in the contract administration process including Request for Proposal (RFP) drafting, contract drafting and negotiations, generating scopes of work, solicitation and buyout of General Contractors, Architectural firms, specialty vendors and subcontractors including an understanding of professional fees.--- Experience working with multiple project delivery methods such as Design-Build, Cost Plus, Lump Sum, Design-Bid-Build, etc.--- Experience with, and understanding of, scheduling, estimating, budgeting and quality controls.--- Experience in themed entertainment projects preferred.--- Experience in hotel development projects, specifically hotel renovation projects and new construction preferred.--- Experience managing construction documentation process including submittals, submittal schedules, RFIs, punch lists, etc.--- General understanding of commercial construction processes and means and methods of project delivery.--- Ability to understand the needs of the Client and to manage relationships between the Owner/Operator.--- Ability to communicate comfortably and effectively, both verbally and in writing, particularly for presentations and correspondence to project team, vendors, consultants, and AOA partners.--- Ability to adapt to change, establish relationships, and work in a team environment.--- Willingness to travel.
