Job Description:

RJ Young is looking for a detailed oriented, independent person who is able to manage multiple tasks with efficiency and accuracy to join our Bid-Desk Team as an Enterprise Project Specialist. The Enterprise Project Specialist will provide project management, including equipment requests, purchase orders, and other reporting duties as assigned. This position primarily provides end-to-end implementation processes for hardware and software, starting with initial implementation services through the post-implementation activities by providing general administrative functions including creating and maintaining project-related logs, composing correspondence, and preparing and monitoring reports.

Essential Functions:

Drafts and updates project management documentation.
Provides continuous improvement on methodology and best practices.
Assists with project implementations using project management best practices.
Manages and coordinates multiple customer implementations simultaneously.
Actively interacts with project stakeholders to confirm project completeness and governance of project documentation.
Maintains and updates project and reporting dashboards.
Provides Enterprise Services Manager with administrative and project support.
Assists with project documentation reviews as required.
Provides feedback to management concerning potential problems and makes recommendations for areas of improvement.
Participates in process improvement projects, and supports other management directives as prescribed.
Creates and maintains required documentation including SharePoint sites, organization charts, distribution lists, meeting minutes, project logs, project schedules, requirements documents, project budgets, and status reports.
Provides logistics related to project management support including scheduling meetings, conference room reservations, meeting materials preparation and distribution, as well as arranging for and testing all meeting technology such as phones, video teleconferencing, microphones or projection.
Verifies accuracy of product information, and pricing according to published price structures and customer contract agreement; follows up on any modifications to original order to ensure billing accuracy.
Completes equipment requests and purchase orders based on the quality requirements dictated by company policies and procedures.
Maximizes vendor order processing to ensure timely delivery and invoicing in accordance with established cycle time requirements.
Creates billing process for efficient and accurate processing.
Ensures proper recording and reporting of equipment and revenue to manufacturer if applicable with use of any GPOs.
Manage all vendor based/contracted pricing programs, including all state/local government, education contracts and Global Purchasing Agreements.
Manage and own all contract/program rules and guidelines adhering to usage and compliancy.
Track/update and communicate any changes to vendor pricing programs or GPOs to all appropriate internal structures.
Track and update all proposed vendor special pricing requests from initial request to fulfilled commitment.
Consolidate complex pricing proposals into customer presentable formats and finalize all Bid Desk RFP pricing submissions.

Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Position Type/Expected Hours of Work
Full-time role, M-F, 40-hours per week. There will be occasional weekend or evening work required.
