The Strategic Research Projects and Grants Manager is a key individual contributor who will advance office priorities and goals of the Vice Provost for Research and Innovation (VP-RI). Reporting to the Assistant Provost for Research Strategy (AP-RS), the Strategic Research Projects and Grants Manager oversees projects to advance the universitys research mission and strategic research and innovation vision in coordination with key stakeholders in research and innovation at Vanderbilt University and external partner and/or sponsor entities, as well as manages proposal submissions and awards for which the Vice Provost for Research and Innovation is the principal investigator (PI). This position is an excellent opportunity for the right candidate to advance sponsored projects administration, technology transfer and commercialization, and compliance, as well as engage with leading researchers at a topranked university. The goal of the Office of the Vice Provost for Research and Innovation is to promote Vanderbilts distinctive research culture, which aspires to improve the human condition through path-breaking discovery and innovation. In addition to overseeing the universitys research portfolio, the VP-R also oversees the implementation of the universitys new future vision and trans-institutional strategies and works closely with the Provost, academic Deans, Vice Provosts, and faculty at large to advance the quality of research and scholarship university-wide. The Office develops strategies and provides services to enhance extramural support for research from all sources including corporate, foundation, federal, and philanthropic; advance a cohesive and vibrant trans-institutional research agenda; and build strategic partnerships around shared priorities in research. The VP-R works with the Vanderbilt University Research Council (VURC) in advocating for the research and scholarship missions of all disciplines at Vanderbilt. Duties and Responsibilities Special Projects Management

  • Under the supervision of and in collaboration with the AP-RS, manage special projects including developing project goals, tracking progress, preparing deliverables, and coordinating faculty, staff, and strategic partners within and outside VU to advance strategic goals ranging from regional economic development related to university research, innovation, and training to augmenting research compliance (e.g., environmental health and safety, management of undue foreign influence).
  • Plan, develop, lead, and execute projects to meet established goals and timelines.
  • Provide professional and/or technical leadership in the execution of day-to-day project activities.
  • Participate in working groups and other special committees to advance research strategy and initiatives.
  • Facilitate the identification of gaps or potential areas for improvement.
  • Support the VP-RIs and AP-RSs engagement with OVPRI subsidiary offices and services including Research Development and Support, Sponsored Programs Administration, the Center for Technology Transfer and Commercialization, and the Wondry by coordinating with faculty and staff to support and advance strategic special projects, particularly but not exclusively grants and contracts.
  • Support meetings at which the Senior Director for Research is directly involved including setting up and coordinating meetings, preparing agendas, read-ahead materials, meeting minutes, data collection,
  • followup with committee members, and reporting.
  • Assist with special events (e.g., site visits from sponsor agencies) including logistical support.
  • Perform data analysis, fact finding (e.g., researching and summarizing relevant trends and activity in federal sponsorship of research, research compliance, support for university-related commercialization and entrepreneurship, etc.), and provide facts-based benchmarking and performance analysis including preparing data visualizations.
  • Draft and finalize documents for the VP-RI and AP-RS (e.g., written reports, PowerPoint presentations).
  • Handle sensitive information with strict confidentiality.Grants Management
  • Prepare and assemble grant and contract proposals on behalf of the Office of the Vice Provost for Research and Innovation (OVPRI) in compliance with sponsor, university, and federal guidelines and deadlines
  • Monitor requirements and deadlines and manage time for responses to program announcements/RFAs or general application submissions in a proactive manner.
  • Work in a collaborative manner with the PI, AP-RS, and other OVPRI leadership team members as well as Sponsored Programs Administration, Research Development and Support, and faculty from across the university throughout the application process to achieve a professional document for submission.
  • Responsible for routing and obtaining appropriate signatures as required from PI, key personnel, and other department or outside institutions and agencies.
  • Assist PI and project team to assemble application prior to submission and ensure timely submission under absolute, unwavering agency and internal deadlines.
  • Prepare budgets within internal and external (foundation, federal, etc.) grant submission systems ensuring budget items are accurate and compliant with applicable guidelines and regulations
  • Work with Executive Director for Research Operations to estimate budgets based on historical spending trends and existing forecasting models from various shared databases
  • Manage budget responsibilities for active awards, including:
  • Present, edit, and finalize recommended budget for next grant application year with PI and other project team members
  • Review direct cost items for federal compliance and other agency, industry, or foreign government guidelines for accuracy, accountability, reasonableness, and consistency.
  • Review budget details (including contract renewals, amendments) with PI including personnel, allocated effort, and overall expenses, ensuring consistency with agency regulations and Research Finance guidelines
  • Oversee initial budget annual budget revision request and coordinate with Office of Research Finance regarding annual financial reports
  • Serve as a manager for ECRT (effort certifications) for grants to ensure effort is appropriately recorded and approved
  • Prepare retroactive cost transfer requests for unallowable transactions; request, monitor, and review subcontract invoices; monitor approaching end dates for grants; manage the financial aspects of no-cost extension and closeout activities for all grant and contract projects as assigned
  • Submit required regular reports to external sponsor agencies
  • Serve as primary point of contact for internal (e.g., Sponsored Programs Administration, Research Development and Support) and external personnel (e.g., sponsor agency program managers) on grants and contracts held by OVPRI
  • Proactively update and maintain knowledge of relevant sponsor, university, and federal guidelines and requirements, including attending internal sponsored projects trainingsQualifications
  • A Bachelors degree from an accredited institution of higher education is necessary.
  • An Masters and/or terminal Degree from an accredited institution of higher education is preferred.
  • Projects management certification from an accredited provider (e.g., PMP) is preferred.
  • Five years of experience leading/managing projects are necessary.
  • Three years of experience managing grants and contracts are necessary.
  • Three years of experience working in a higher education/academic setting is preferred.
  • Financial background, including the review of budgets, is preferred.
  • Proven track record of success working with faculty is strongly preferred.
  • Professional training or certification in project management is strongly preferred.
  • Excellent verbal and written communication skills with meticulous attention to detail and organization.
  • Ability to manage complex projects (e.g., hold others accountable, manage distributed workflow, etc.).
  • Ability to analyze and interpret data (e.g., pre-award data, survey data) and prepare data reports and visualizations.
  • Ability to take initiative and work independently, multi-task, work well under pressure, and willingness to rapidly learn new skills as needed.
  • Ability to function effectively in a complex and fast-paced organizational environment demanding high energy, discretion, patience, enthusiasm, and humor.
